Setting Up A Transaction File

OneCall recommends that you set up a transaction file for each of your properties. In that file, you can save all correspondence — emails, voicemail messages, and faxes. Transaction files prove particularly helpful during closings, because you can simply carry your laptop and/or a flash drive to the closing and have immediate access to every communication you exchanged regarding the property.

If you are on a PC using Windows-based software, for example, you could set up a file by clicking on Start (generally lower left corner of your computer screen), then My Computer. Next you must designate on which disk you will save the file; most people choose Local Disk or Drive C. Next, click on File, New Folder, and then give your folder a name. OneCall recommends you use the property's address as your folder name.

How to Save Voicemail Messages to Your Hard Drive
    (and/or Transaction File)

  1. Choose the file you wish to save.
  2. Press the download icon.
  3. Right click on the diskette (picture) icon for .WAV
  4. Click on "Save target as. . . "
  5. Change the name of the file from numbers to something meaningful.
  6. Click Save.
